Forgetting is not a discipline problem

The real problem behind the PDFs

The problem is rarely that you do not want to complete the work. The information is simply scattered: one syllabus in a PDF, another inside a portal, a date announced in class, and several assignments competing for the same week.

When everything lives in your head, each week begins with the same question: what was I supposed to turn in? This workflow builds five layers: sources, map, plan, calendar, and reminders.

The central idea

Syllabi -> clear deliverables -> work blocks -> events and reminders -> weekly review. Extract and review first; create events second. Automation should only operate on information you have validated.

Create one folder per course

Build a source of truth

Start simple. Create a folder for the term and one subfolder per course. Do not mix notes, screenshots, links, and old assignments yet.

Check that every syllabus has the correct course, term, and dates. If a deadline only appears in the portal, mark it to confirm. Never let ChatGPT fill in a date that does not exist in a source.

Extract deliverables without inventing dates

From syllabi to a valid table

The desktop app can work with local files through Work when your plan and configuration support it. If your version cannot read a folder, upload the PDFs to a project or attach them to the chat. The principle is the same: give ChatGPT the original syllabi as context.

Ask for a table before asking for events. At minimum, include:

The confidence column separates what the source states from what has been inferred. Then request a second pass for deadlines on the same day, hidden dependencies, and overloaded weeks.

The golden rule

A deadline is not a plan. It is the end of a plan. ChatGPT should help you identify the first work session, not merely copy the final date.

Turn deadlines into actual work

Plan backward

For every deliverable, work backward from the deadline:

  • Submission: the time given by the instructor.
  • Review: 24 hours earlier to check requirements and formatting.
  • Complete draft: two or three days earlier.
  • First session: the moment you will begin.
  • Dependencies: readings, data, teammates, or materials needed first.

Use two kinds of calendar entries:

  • Deadline events: [COURSE] Due - [name]. These can be all-day events.
  • Work blocks: [COURSE] Work - [name]. They need a start time, duration, and concrete outcome.

“Work on project” is too vague. “Draft the introduction and identify sources” tells you when the block is complete. If the syllabus says Friday at 11:59 p.m., treat Thursday evening as your real finish line.

Use reminders strategically

Notifications that return you to the plan

Reminders should return you to the work, not flood your day with alarms. For an important deliverable, a useful structure is:

  • 7 days before: begin or secure a dependency.
  • 3 days before: complete a full draft.
  • 1 day before: review and prepare the submission.

ChatGPT supports Scheduled Tasks for one-time, recurring, and some monitoring tasks. One limit matters here: a scheduled task cannot reopen your project files later. Put the course, deliverable, deadline, and next action directly inside the reminder.

Actionable reminder

Create a one-time task for Tuesday, August 11 at 6:00 p.m.

Course: Programming Deliverable: Project 1 Deadline: August 21 Specific next action: define the screens and create the project structure.

Include those details in the reminder because the task must not depend on reading my project files again.

Connect Google Calendar and apps

What ChatGPT can and cannot do

Connect ChatGPT apps from Settings > Apps or the tools menu. Depending on the version, you can invoke an app with @ or through + > More.

Keep the responsibilities clear:

  • Calendar reserves time and displays dates.
  • Scheduled Tasks / Reminders bring you back to the plan.
  • The folder preserves the original sources.

First show me a preview with title, date, time, duration, calendar, and description. Do not create or modify events until I confirm.

If the feature does not appear

App and action availability depends on plan, account, region, and workspace configuration. If Google Calendar cannot write events, use the manual flow: table first, events second.

At the end, list contradictions, overloaded weeks, and every date I should confirm with the instructor.

Turn dates into a work plan

  4. a safety margin before the deadline;

Do not schedule more than three hours without a break. If two courses compete for the same block, flag the conflict and propose two alternatives. Return a preview first; do not create events.

Safety and limits

Connect only the apps you will actually use. Check the account and destination calendar before creating events. Never share passwords or access codes. If a college portal is involved, sign in yourself and require confirmation before submitting assignments or forms.

  2. Save and review every syllabus.
  3. Request the master deliverables table.
  4. Correct dates and mark anything that needs confirmation.
  5. Propose work blocks by planning backward.
  6. Review conflicts against Google Calendar.
  7. Create only approved events and reminders.
  8. Schedule the weekly review.

The goal is not a perfect calendar. It is a trustworthy list of what exists, a next action for every deliverable, and enough margin to stop living from one emergency to the next.
